How we collect, use, and protect your information

1. Overview

JLCS Essentials ("JLCS", "we", "our", or "us") operates the JLCS Mobile application (the "App"). This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our mobile application.

The JLCS Mobile app is a workforce management tool designed for construction and field operations companies. It provides safety inspection management, field observation reporting, daily report creation, employee check-in tracking, and safety spot documentation.

By using the App, you agree to the collection and use of information in accordance with this policy. If you do not agree with the terms of this policy, please do not access the App.

2. Information We Collect

Account Information

When your employer creates your account, the following information is collected:

  • Full name and username
  • Email address
  • Employee ID and role designation
  • Company and department association

Usage Data

We automatically collect certain information when you use the App:

  • Device type, operating system, and unique device identifiers
  • App usage patterns, features accessed, and timestamps
  • Push notification token (for delivering alerts)
  • Network connectivity status

Content You Create

The App collects content you voluntarily create as part of your work duties:

  • Photos and images — captured via camera or selected from your device gallery for safety spots, inspection records, and field observations
  • Text entries — descriptions, notes, comments, and report narratives
  • Digital signatures — cursive signature data for inspection sign-offs, daily report approvals, and disciplinary acknowledgments
  • Form responses — checklist answers, severity ratings, and inspection findings

Location Data

With your permission, the App may collect your device's geographic location to:

  • Tag safety spots and field observations with accurate coordinates
  • Record check-in/check-out locations for site attendance verification
  • Provide location context for incident reporting

Location data is collected only when the App is in active use and you have granted permission. You may revoke location permissions at any time through your device settings.

3. How We Use Your Information

We use the information we collect to:

  • Provide core services — authenticate your identity, deliver the App's features, and maintain your workspace
  • Safety compliance — generate inspection records, observation reports, and safety documentation required by your employer and regulatory standards
  • Operational management — enable daily reporting, employee check-in tracking, and workforce coordination
  • Notifications — send push notifications about safety alerts, inspection assignments, report submissions, and system updates
  • Improve the App — analyze usage patterns to fix bugs, improve performance, and develop new features
  • Security — detect and prevent unauthorized access, fraud, or abuse

4. Data Sharing & Disclosure

We do not sell, rent, or trade your personal information to third parties. We may share your information in the following limited circumstances:

  • With your employer — the company that maintains your JLCS workspace can access all data created within their workspace, including your reports, inspections, and observations. This is the primary purpose of the App.
  • Service providers — we use trusted third-party services for hosting, email delivery, and push notifications. These providers are bound by contractual data protection obligations.
  • Legal requirements — we may disclose information if required by law, regulation, legal process, or governmental request.
  • Safety and protection — we may share information to protect the rights, property, or safety of JLCS, our users, or the public.

4a. Subprocessors & AI Processing

JLCS runs on a small number of service providers that may process personal information on our behalf. Each is bound by its own data-processing terms:

  • DigitalOcean — application hosting and file storage (United States).
  • Resend — transactional email (sign-in details, notifications).
  • Twilio — SMS text messages (codes, alerts, broadcasts).
  • Stripe — subscription billing; JLCS never stores card numbers.
  • OpenAI — AI processing for optional features: reading uploaded documents (for example an ID photo during I-9 review, a supplier invoice, a fuel statement), drafting HR text, and the Blue assistant. Content is sent only when a person uses one of those features; a company can turn AI processing off in its settings.
  • Sentry — error monitoring (technical diagnostics, with personal data scrubbed before sending).
  • Expo — push-notification delivery to the JLCS Ops and JLCS Crew apps.

We update this list when a provider is added or removed. Questions about a specific provider can be sent to the contact below.

5. Data Storage & Security

Your data is stored on secure, encrypted servers. We implement industry-standard security measures including:

  • Encryption in transit (TLS/HTTPS for all API communications)
  • Encrypted storage for sensitive data (passwords, tokens)
  • Multi-factor authentication support
  • Role-based access controls with tenant isolation
  • Regular security audits and monitoring

The App also provides offline functionality using on-device encrypted storage (Expo SecureStore) for authentication tokens. Locally cached data is automatically synced with the server when connectivity is restored.

6. Device Permissions

The App requests the following device permissions, each for a specific purpose:

  • Camera — to capture photos for safety spots, inspection evidence, and observation documentation
  • Photo Library — to attach existing photos from your device to reports and observations
  • Location — to geotag safety spots and record check-in locations (only while using the App)
  • Push Notifications — to deliver real-time safety alerts, inspection assignments, and system notifications
  • Microphone — used only when recording video for incident documentation

All permissions are optional. You can grant or revoke them at any time through your device's Settings. Denying a permission will only disable the specific feature that requires it.

7. Data Retention

We retain your personal data for as long as your employer maintains an active JLCS account and as required by applicable laws and regulations. Specifically:

  • Account data is retained while the employer's workspace is active
  • Safety and inspection records may be retained for the duration required by OSHA and other regulatory bodies (typically 5+ years)
  • Session tokens expire after 30 days and are purged on logout
  • Push notification tokens are removed when you log out or uninstall the App

Upon account deletion or workspace closure, your personal data will be removed within 90 days, except where retention is required by law.

8. Your Rights

Depending on your jurisdiction, you may have the following rights regarding your personal data:

  • Access — request a copy of the personal data we hold about you
  • Correction — request correction of inaccurate or incomplete data
  • Deletion — request deletion of your personal data, subject to legal retention requirements
  • Portability — request your data in a structured, machine-readable format
  • Opt-out of notifications — disable push notifications through your device settings at any time

9. Children's Privacy

The JLCS Mobile app is a workplace tool intended exclusively for use by adults (18 years of age or older). We do not knowingly collect personal information from children under 13. If we discover that we have inadvertently collected data from a child under 13, we will promptly delete it.

10. Changes to This Policy

We may update this Privacy Policy from time to time. When we make material changes, we will:

  • Update the "Effective Date" at the top of this page
  • Notify you via push notification or in-app message
  • Post the updated policy at this URL

Your continued use of the App after changes are posted constitutes acceptance of the revised policy.
